Who this covers

This policy covers the TrailWorks Mountain Bike Coaching booking platform — the pages where you view the schedule and request or book a session. It is operated by TrailWorks. If you reached us from ridetrailworks.com, note that the main website is run separately on Kajabi and has its own privacy terms; this policy applies specifically to the booking platform.

What we collect

When you request or book a session, we collect:

• Your name and email address
• Your phone number
• An emergency contact name and phone number
• Any medical or health notes you choose to share so your coach can keep you safe on the trail
• Booking details — the trail, date, time, group size, and your session history with us

You choose what to enter. Medical notes are optional, but leaving them out means your coach won’t know about a condition that could matter on the trail.

Why we collect it

• To schedule, confirm, and run your coaching session
• To contact you about your booking
• To reach someone and understand any health needs if there’s an emergency
• To keep a record of your progress across sessions

We do not sell your information, and we do not use advertising or analytics trackers on this platform.

Who we share it with

We use a small number of trusted service providers to run the platform. They only process your data to provide their service to us:

• Vercel — hosts the website
• Supabase — stores the booking database
• Resend — sends booking confirmation emails
• Google Maps — shows an embedded map of the meeting spot on the confirmation page (Google may set its own cookies when that map loads)

Payment is handled outside this platform: we email you a link to pay by Venmo, and you pay through that service directly. We don’t collect or store your card or bank details here.

Cookies

This platform uses one cookie of its own: a sign-in cookie that keeps staff logged in to the admin area. It’s strictly necessary for that function and isn’t used for tracking. The embedded Google Map on the confirmation page may set Google’s own cookies. We do not run advertising, marketing, or analytics cookies.

How long we keep it

We keep your information for as long as you’re an active coaching customer and as long as needed for our records. You can ask us to delete it at any time (see below).

Your choices and rights

You can ask us to show you the information we hold about you, correct it, or delete it. To make any of these requests, email brian@ridetrailworks.com. Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA) or the EU GDPR; we’ll honor those requests too.

Children

The booking platform is intended for adults booking sessions. Youth camps are sold through the main ridetrailworks.com site, not here. We don’t knowingly collect information directly from children under 13 on this platform.

Security

Your information is stored in a secured database with access limited to TrailWorks staff. We take reasonable steps to protect it, though no online service can promise perfect security.
